MINUTES OF THE ANNUAL GENERAL MEETING HELD ON SUNDAY 15 NOVEMBER 2009 AT THE RSPB RESERVE, WIGGONHOLT
Meeting opened at 10.40 am
The secretary, Edwin Jones, proposed Arthur Smith to chair the meeting. This was seconded by Richard Boulton and endorsed unanimously by the members present.
The Chairman requested a volunteer to take the minutes. Colin Bloomfield was proposed by Edwin Jones, Seconded by Arthur Smith.

Report of the DA Secretary Year to 30 September 2009
Edwin Jones
At the start of the year DA members were shocked to hear of the sudden death of Phil Turner, the DA Treasurer. Many members attended the funeral and there was a Memorial Ride in August. John Wickens stepped in to fill the Treasurers position.
There was fairly good support over the last year for many DA and Section Events.
There were 6 DA Events this year. The first on the 19 April was the Freewheel Competition, which was well supported with 18 taking part.
The second event was the I Spy Competition on 24th May with 20 taking part on a pleasant sunny day
The Green Ride on the 7th June was held on a generally dry day and we dodged the isolated showers. 17 members from all Sections met at Billingshurst Station to take part in an interesting ride finding places with the name Green in them, which seemed amazingly abundant.
The Two Weald Ride attracted 16 riders and there was excellent organisation from Horsham Section with the Gazebo used for Sun protection instead of a rain shelter.
On another good day 27 attended the D.A picnic at Wiggonholt.
On a mainly sunny and dry day 9 attended on the Arun Crossings Ride. I gave this a miss having developed an aversion to off road after last year
In the DA Events Points Competition for the best Section Arun Adur won the Cup by a mile. Best individual was initially a tie between Bob Moore and Dave Galle. The tiebreak is decided by the Rider who has attended the most of any part of any DA Groups Sunday Rides during the period covered by the DA Events, i.e. from 13 April to 7 September. Bob came out the winner by one ride. There was another tie for Best Lady between Anne Kelly and Gill Threadingham. They managed to tie on rides attended as well so they share the Cup.
Overall my feeling is that the DA Events were well supported this year.
There were 4 DA Committee Meetings during the year. With most events organised through the Sections the main activity of the DA was publication of the Pedaller magazine and the all Sections Rides Lists. Over the last year I think the Pedaller has maintained a high standard of interesting Articles.
Thanks are due to Dave Galle for the Magazine and John Maxim for the Rides List. DA Events for next year will be discussed further later on the Agenda but will probably be similar to this year. A reminder that you can find the DA website at
www.ctcwestsussex.org.uk . There are links on it on the Section Websites.
The objective of this is to deal with DA matters and serve as an introduction to the area with links to the various Section web sites. The web site includes the DA Runs List, Section and DA contacts, Details about the Pedaller and DA Events including latest Points table. Also the Minutes of last year’s AGM and the draft Agenda for this year have been available to look at on the Website for many months. You can also check out the Minutes of DA Committee meetings for the latest news. Note that you can download a complete copy of the DA Rides List from the Website if you need a spare Rides List.
As the nights draw in it is a good time to look forward to a varied selection of Rides and Events for next year and hopefully a good summer.

Report of the DA Treasurer
John Wickens reported that taking over the role of Treasurer was not difficult thanks to Phil Turner’s meticulous records and Richard Carlisle’s help.
Barclays Bank has miss-handled the transfer of responsibilities and authority for signing cheques. An apology has been received together with £50 in compensation.
Printing the 100th edition of the Pedaller in colour has increased the cost from £165 to £373 for the quarter. This cost has been borne by the DA account. The charge to The Sections has increased from 40p to 60p per copy.
Maintenance charge for the DA web site has increased from £17.63 to £34.50 per year.
Overall income has increased slightly, partly due to more advertisers using The Pedaller and increased grant from CTC from £150 to £167 per year.
The DA remains solvent with £482.07 as at 30 September 2009.

Horsham and Crawley
I looked at our website to jog my memory about the year’s activities before I wrote this report and on the Flickr page I noticed in red the question ’Would you like to comment?’
What would anyone say? The photos show a bunch of people grinning like idiots from the tops of hills, pub gardens, Pete Eyre bending over examining the stones on a beach, restaurants, hotels, glasses of wine at Christmas, a selection of bikes ranging from tandem to recumbent, raincoats, sunshine, electricity pylons, beer, Bognor Pier, the top of Ditchling Beacon, well done for that one, and a few diagrams of the profiles of our rides.
So in answer to the question, I would say that this is what makes our club what it is.
The weekly blog has continued all year as a great source of information about each ride.
This year has seen the old favourites. The DA events went well. The I-Spy event took us through some beautiful scenery and ended in a beautiful setting for the prize-giving.
The 2-Weald ride was well supported too even though the control point was open for a shorter length of time this year. It didn’t seem to stop some people from still going for the 100 and Pat and Frank’s camper van added a touch of class and sophistication to the day.
The anniversary weekend was in Bognor with only 7 going, but I’m sure it was still a great weekend.
We somehow forgot to have a barbecue this year and the Christmas dinner was OK but not as popular as the Gate at Ifield.
The Mick Horley award this year will go to Bob. Thank you for turning out and supporting the club so often. Mick is a close second. This year Anton has been doing his own thing too, as it was his turn to cycle end to end and then started taking part in several Audaxes. John Veitch also did a very long ride in France and there have been two section holidays, which no doubt significantly added to our personal mileages.
Bob also won the DA Individual Award.
Membership numbers has remained a constant topic of conversation and is usually an agenda item at committee meetings. This year there were 21 on our books.

Arun Adur
The Arun Adur CTC consists of 40 members and enjoys the company of visitors from other sections, unattached CTC members and non-members.
Tony Nichols organised the Tuesday's programme and managed to put together a wide range of rides to various destinations and types of riding. Some of the rides were on the level, some were definitely not on the level, most were on the Sussex lanes but some were on tracks and even off road cycling. The members are getting used to the idea that they do not have to stay for the whole ride and are starting at different places and finishing at different places. Some member’s start cycling from home regardless of the starting point and this can add over 50 miles to the days ride. As the sun became higher in the sky, so did the numbers and on occasions there were twelve cyclists, but on some cold, wet windy days there were less. The rides varied enormously from the gentle potter to the tougher rides into the Hampshire hills. The Tuesday list prepared by Tony Nichols reached its one hundred and tenth issue, and that means he has prepared them for ten years.
Sunday rides are organised by Richard Boulton and continue with varying numbers but tend to be the same few tough cyclists that look for challenges, and find them. Their lack of numbers is made up by their enthusiasm and this was reflected by the Sunday Riders winning the West Sussex District Association Cup for the best section, and Dave Galle equalling the winner of the individuals cup and Louse Galle for equalling the winner of the Ladies Award but losing out by missing a few Sunday rides. - Congratulations. Dave Galle organised two District Associations rides: the Freewheeling Competition and the Green Ride. Dave Fox organised a Scenic Seventy ride of seventy miles for the over seventies and it was rumoured to have seventy hills.
Richard organised the Saturday off road rides during the summer months. There were fewer numbers than in the past but this may be due to the wider range of the Tuesday and Sunday rides with their more gentle approach to off road cycling. Other members continued to meet during the week on a regular basis for day rides that fit-in with work or to join a Bognor and Chichester rides.
As well as the club rides Arun-Adur CTC members made a wide range of trips out of the area and these include visits in Kent, New Forest, Wales, North East England, Scotland, and a ride from Pembrokeshire to Sussex. Members also went foreign to Lanzarote, Majorca and in the areas around Limoges and Dieppe.
Social events
For the second year, running the New Years Lunch was held at The Fox at Patching and over 20 of us enjoyed the meal and the chat with fellow cyclists. Some people arrived by car and some arrived the proper way on their bikes. As the wine went down the noise went up and so it can be assumed that every one enjoyed their meeting as well as the meal. The age range was interesting as it covered eight decades.
The monthly Wednesday meetings have been organised to have alternate meetings at the Ferring Village Hall. At the first Club evening Wendy Funnell showed slides of her trip to Siberia. At other meetings John Turner showed slides of his trip to India, Dave Fox showed slides of a group trip he led to Italy and Tony of a trip he made to the Alps.
In June, Tony demonstrated how to build a wheel. It is a slow process but with the right tools and a methodical approach he showed us how it could be done in an evening, and showed us the tools needed. He used an existing wheel as a pattern for the new wheel. He told us about different spoke patterns, also how to measure and order the spokes. An interesting evening learning a skill that we hope we will not have to use but will be useful in correcting a wheel wobble!
On the “other” months, there were meetings in The Gun in Findon where it was arranged that we could cycle or go by car. The number of members meeting there varied considerably– some had a meal and others just a drink, but all having a pleasant evening. The Monthly Munch continues to be held at Macmillan's in Worthing
Administration
The problem of the CTC paperwork seems to have reached a point where it is just a challenge. The attendance forms are completed and I will keep them for a year. The initial horror of seeing the forms and bureaucratic paperwork in connection with insurance and health and safety has gone.
The web site, http://www.fonant.co.uk/arunadur/, continues to be organised by Dave Galle and he reports on many of the rides. An impressive website with current news and a lot of content.
I would like to thank all those that helped me directly as secretary including Tony Nichols, the chairman, Richard Boulton, the treasurer, Ivan Mills and Ernie Yerrell and for John Wickens acting as auditor. I would also like to thank the rides leaders for organising such interesting routes and to participants that make up the group and encourage others at all levels and generally make the rides more interesting physically, visually and socially. Last but not least, thank you to Dave Galle for all your help.

Bognor/Chichester Secretary’s Report
Membership including couples this year has been fairly stable at 72 compared with 69 for last year.
Numbers out on rides has varied but has been generally been good. Average numbers out on a Sunday was about 7. Wednesdays was about 5-7 on average. As last year we have had a good number of ladies on the Sunday Rides and on 1 or 2 rides the ladies even outnumbered the gents. Numbers out on evening rides have been similar to or a little lower than last years low levels and this remains a problem.
At the start of the year we were all deeply shocked by the sudden death of Phil Turner. Phil was deeply involved in the Club as Membership Secretary, Chairman and leader of many of our rides. 38 cyclists took part in a procession with the cortege from the family home to the Church.
On the 21st March we held our 25th Anniversary Dinner at the Robin Hood, Shripney. We had been able to secure as a Guest Speaker Kevin Mayne, the Director of the CTC. Kevin also joined us for the Anniversary Ride the following day which re-enacted the Clubs first ever Ride, which was to Rowlands Castle. We had 20 out on this ride.
There was good support for various special Sunday Rides including the Tea
Ride. On the Phil Turner Ride in August 37 turned up at Mary’s for tea.
In late February/early March I organised a Lanzarote Holiday with 10 attending. This was staying fixed centre at the Apartments I stay at on my long winter escapes. My broken hip was just sufficiently mended for me to lead a lot of the rides, if a little slower than usual
Avryl organized a very good 7 day fixed centre holiday in Majorca with 10 of us attending. Club member Derek Hayday who was then resident in Majorca was a great help, joining us for several days and leading us on some of the great maze of little lanes on the Island.
Weekends away were organised including the Isle of Wight and Andover. Next year I am planning an Autumn Tour to Greece.
There were many successful social events including Club Nights, the Christmas Dinner, the Skittles Evening and the popular Barbecue hosted by Mary Turner.
Social events to look forward to this year are the Club Night on 19 November with Colin’s pictures of his trip to Laos and on the 3rd December I will show pictures by myself and several other Club Members of the Majorca Trip. On Sunday 13 December we hold our Christmas lunch at Aldingbourne and the Mince Pie Ride is on the 3rd January. On 14 January there will be a Murder Mystery Night with Mary

Right to Ride Representative
There being no formally appointed person, Richard Bates CTC SE Councillor gave an unscripted report.
CTC will be holding a South East training event at Redhill on Saturday 21 November on being a “Right to Ride Rep”.
The West Sussex County Council Cycle Forum will meet on Wednesday 18 November at Billinghurst community hall. This will be the first meeting organised by Simone Makepiece who was appointed in August. Simone has a background in cycle training issues and cycling for those who lack experience.
Richard would like to have Crawley designated a “Cycling town” as per Woking and see the DA structure more active.

Any other business
The Registrar reported that at the beginning of November CTC membership in West Sussex had increased by 50 and stood at 979. This included about 6 affiliated groups.
Richard Bates advised the meeting that he is arranging a Regional Rally, centred at Christ’s Hospital, which would comprise a choice of one day rides. The deadline for West Sussex to incorporate this into their “runs lists” would be February for a spring ride
John Wickens was concerned that the CTC shop, now a concession of Wiggle, was only accessible by internet. Richard Bates replied that this was the second group to raise this and he would report it to CTC Council.
